Marketing & Administration Coordinator

Job Summary:

We are seeking a full-time Marketing & Administration Coordinator to join our dynamic team at Monarch Design Group. This position is based entirely in the office - no remote or hybrid options are available. The ideal candidate is a highly organized, detail-oriented marketing professional with a passion for writing, design, and marketing within the AEC (Architecture, Engineering, and Construction) industry. We are seeking a proactive, creative, and driven individual to lead and coordinate all aspects of our proposal and marketing efforts, with the goal of increasing net revenue. 


Key Responsibilities: 

  • Lead the writing, editing, and production of strict deadline responses to RFPs/RFQs for private and public sector clients. 
  • Maintain and update the company's project description database, website, and other marketing assets. 
  • Coordinate with internal teams and consultants to develop compelling fee proposals. 
  • Design reports, project highlights, PowerPoint presentations, and pitch decks for client meetings and interviews. 
  • Meet a calendar of strict deadlines for proposals and must be comfortable working on multiple projects at one time. 
  • Support internal communications, award submissions, and community outreach efforts. 
  • Directly impact revenue through marketing initiatives.


Requirements: 

  • Bachelor's degree in Marketing, Communications, or a related field preferred. 
  • Strong writing and editing skills - must be proficient in writing formal responses and persuasive content. 
  • Highly organized with an exceptional attention to detail and with the ability to manage multiple deadlines. 
  • Proficiency in Microsoft Office (especially PowerPoint), Adobe Creative Suite, including InDesign, and basic website CMS platforms. 
  • Previous experience in proposal development, RFP/RFQ responses, grant writing, or AEC marketing strongly preferred. 
  • Ability to work on-site, full-time in the Gainesville, Florida office. 
  • Persuasive, sales-oriented, with the ability to strategize a compelling point of view.
